Privacy Policy
Last updated: 30 September 2026
This policy explains how personal data is handled in RoostDigital Planner ("the app"), a wedding-planning workspace for independent planners and the couples they invite. The app is currently offered as a private beta.
1. Who we are
RoostDigital is a trading name of Danny Clarke, a sole trader based in the United Kingdom. For the account information described below, Danny Clarke trading as RoostDigital is the data controller.
Planners use the app to hold information about their own clients (couples, guests and suppliers). For that client information, the planner decides what is entered and why, and is usually the controller; RoostDigital provides the tool and processes that information on the planner's behalf.
To contact us about privacy, email roostdigital23@gmail.com, or write to Danny Clarke (RoostDigital), Lytchett House, 13 Freeland Park, Wareham Road, Poole, Dorset, BH16 6FA, United Kingdom.
2. Information we collect
- Account details — name, email address, password (held securely by our sign-in provider, never visible to us), your role (planner or couple), and Google account name and email if you choose "Continue with Google".
- Planner business details — business name, contact email and phone number, welcome message and portal branding.
- Wedding and client information entered by planners — couple names, wedding dates and venues, questionnaire answers, checklists and tasks, timelines, budgets and payment milestones.
- Supplier information — supplier names, contact details, booking status, quotes, deposits and balances.
- Uploaded files — documents and images uploaded to a wedding's private document area (PDF, image, Word, Excel and CSV files up to 25 MB).
- Messages and notes — messages between a planner and their couple, and planner-only private notes.
- Purchase information — which plan or product you bought, subscription status, and Etsy order codes you redeem. Card details are entered directly with Stripe; we never receive or store full card numbers.
- Beta waitlist details — if you join the private beta waitlist, your email address and, if you choose to give it, your name, plus the date you joined.
- Technical and security data — sign-in records kept by our sign-in provider, basic server logs, and a record of code-redemption attempts (stored in a scrambled, non-readable form) to prevent code guessing.
3. Why we use it and our lawful basis
| Purpose | Lawful basis (UK GDPR Art. 6) |
|---|---|
| Creating and running your account, signing you in | Contract |
| Providing the workspace: storing weddings, tasks, suppliers, budgets, files, messages and notes, and syncing them across devices | Contract |
| Inviting couples and sending service emails such as invites and reminders | Contract |
| Processing purchases, subscriptions and redeemed Etsy codes | Contract |
| Keeping the service secure, preventing abuse (for example, limiting code-guessing attempts) and fixing faults | Legitimate interests — protecting our users and the service |
| Keeping financial and tax records of purchases | Legal obligation |
| Contacting people on the beta waitlist about RoostDigital Planner beta and launch access, at their request | Legitimate interests — responding to your request to hear when access opens |
Waitlist emails are used only to tell you about beta and launch access to RoostDigital Planner. Joining the waitlist does not sign you up to newsletters or unrelated marketing.
We do not sell personal data, use it for advertising, or make automated decisions about you.
4. Service providers
- Lovable (Lovable Labs AB, Sweden) — hosts the app and provides its sign-in, database, file storage and email sending (Lovable Cloud). Lovable acts as our processor under its Data Processing Agreement, which applies to our Business plan. Lovable uses its own sub-processors; the current list is published in the Lovable Trust Center.
- Stripe — processes card payments and subscriptions. See Stripe's privacy policy.
- Google — only if you choose "Continue with Google" to sign in. Web fonts are also loaded from Google Fonts, which receives your IP address when pages load.
5. Where your data is stored and international transfers
The app's database and file storage are hosted in the European Union (Ireland).
Where personal data is transferred from the UK to a country without UK adequacy regulations, Lovable's Data Processing Agreement provides that such transfers are made under the EU Standard Contractual Clauses as amended by the UK International Data Transfer Addendum issued by the Information Commissioner's Office.
For Google services, transfers from the UK rely on the UK Extension to the EU–US Data Privacy Framework and Standard Contractual Clauses. Stripe applies its own transfer safeguards, described in its privacy policy.
6. How long we keep data
We keep personal data only for as long as it is needed, based on these criteria:
- Account and workspace data is kept while your account is active, until you delete it or your account.
- Uploaded files are kept until they are removed by the planner or the account is deleted.
- Purchase and payment records are kept for as long as UK tax and accounting law requires.
- Security records (such as code-redemption attempts) are kept only as long as needed to protect the service.
- Waitlist details are kept only while they are needed to tell you about beta or launch access — until you are given access, the waitlist is no longer needed, or you ask us to remove them, whichever comes first.
7. Data export and account deletion
Signed-in planners can download a copy of their data from Settings → Your data and account. The file includes your profile and the weddings, couples, suppliers, checklists, timeline, budget, messages and notes you are authorised to see.
You can also delete your account there. Deleting a planner account permanently removes your profile and the weddings you own, including their couple records, suppliers, checklists, timelines, notes, messages, budgets and uploaded documents. Where you have sent messages in someone else's wedding, they are kept but shown as from "Removed account", so the other person's records are not broken. Payment records held by Stripe are retained by Stripe as required by law.
8. Your rights
Under UK GDPR you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased;
- restrict or object to our processing (including processing based on legitimate interests);
- receive your data in a portable format;
- withdraw consent where we rely on it.
You can use the export and delete tools in Settings, or contact us via roostdigital23@gmail.com. We will respond within one month. If you are a couple whose details were entered by a planner, you may also contact that planner directly.
To have your waitlist email removed, email roostdigital23@gmail.com from that address (or tell us which address to remove). We will delete it and stop contacting you.
9. Complaints
If you are unhappy with how we handle your data, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
10. Cookies and similar technologies
The app does not use advertising or analytics cookies. It uses your browser's local storage to keep you signed in and to hold unsaved changes until they reach our database. These are strictly necessary for the app to work. Stripe may set its own cookies on its checkout to prevent fraud.
11. Changes to this policy
We will update this page if our practices change and revise the date at the top.
